In the near future, the Deviation Request for Services will become paperless within NIS! With the implementation of the Deviation Request (O8 document type) comes the ability to enter information specific to the Service that you want to procure. Once approved through the Department of Administrative Services, you will be able to generate a Service Contract or Exempt Requisition (Z6) from the Deviation Request.

In preparation for the Deviation Request, agencies must identify the end users who will have the ability to enter or work with the document in NIS. Once end users are identified, they will need to have an approval route set up within the system for the Deviation Request (O8). This can be set up via the IMS Help Desk. A standard approval route for an end user will be:

Dollar Level Approver Purpose
$1 – 3 Agency individuals Allows agency personnel to review the Deviation Request before it routes to the Agency Director

$4
AGENCY DIRECTOR
(there is no substitute)
To ensure that Agency Director does approve this Deviation Request – Statute requirement

$5
Frances Redwine &
Sharon Zimmerman
State Purchasing Bureau staff who will review the Deviation Request to ensure it is thorough prior to routing to DAS Materiel Administrator for review/comments
$6 Don Medinger &
Brenda Pape
DAS Materiel Division will review the Deviation Request for compliance with State Statutes
$7 Lori McClurg &
Doni Peterson
Department of Administrative Services Administrator will approve the Deviation Request
$8
State Purchasing Bureau
Front Desk State Purchasing Bureau will notify Agency contact via e-mail when the Deviation Request is approved and available for processing.

If an end user (including an approver) does not have a matrix coding for procurement transactions, you will need to change his/her NIS Security to allow access to the Procurement programs.

PLEASE NOTE: A flash memo with additional information about Deviation Request will be sent when it is available for use.
